The Individual will assist with processing applications, and follow up with move-in and move out processing.
This individual will possess a willingness to learn, and to grow in a fast paced environment.
High level of face to face communication, telephone, follow up, and follow through skills, and an entrepreneurial spirit are imperative.
The assistant property manager is a non-licensed position and cannot negotiate any part of a lease.
The overall goal of the assistant property manager is to gather data and help the property manager with the overall success of the portfolio.
Job Role Tasks Maintenance Management Troubleshoot maintenance requests and assign to vendors when needed Communicate with vendors and owners regarding maintenance Review work orders daily - follow up with vendors, verify photos and invoice, escalate any work > $250 to property manager.
Work with Property Managers to follow project management flow.
Work with individual turnover coordinator regarding make ready vendors on the rent ready quote, Be sure that proper inspections and checklists have been completed.
Actively search new vendor options to fill need overflow Quarterly review of vendors - including Licensing and insurance Review all invoices for property and charges to see that the cost is in tolerance Perform research on as needed basis for property manager and bookkeeping including bills that do not look correct Review and track utility bills Set Up Utilities for Master Billing Follow up with residents who are delinquent Generate and post 3 day notices / at resident property Perform any duties assigned by PM in supporting role Communicate with PM on any challenge that needs to be escalated Any tasks, activities or responsibilities which may be assigned by the position supervisor or management Leasing Responsibilities Post all Properties for Lease online Schedule showings through Tenant Turner Conduct Showings - provide feedback to Property Manager Run applications Gather all docs from applicants as needed Follow up with Pet Screening Bring all applicant data to team for final decision Deny applicants that are not qualified Create lease and send for signature Creates leasing fees in PM system Enter applicant info into software Prospect liaison during lease sign process - answers all prospect questions - security deposit, utilities, keys, move in process, approvals, denials, etc Collect renters insurance policy Collect established utility account numbers Communicates with agents, PM and applicants throughout the process Coordinate move in and move out.
Sets up and changes utilities and send move out check list to tenant.
Take final photos and document damages to units and provides photos to property manager for disposition.
Coordinate final move in walk through and documents any imperfections at property with tenant acknowledgement.
